A product walkthrough of Site Essentials — the stock management tool built into every PayCamp plan.
What is Site Essentials?
Site Essentials is PayCamp's built-in shop and gas management module. It gives you a single dashboard to track everything you sell on site — from gas cylinders and Elsan fluid to firewood and milk.
It's not a retail system. There are no barcodes, no barcode scanners, no complex POS workflows. It's designed for the reality of running a small leisure site: 10–20 products, sold from a shed or reception desk, managed by one or two people.

Site Essentials is not an add-on. It's included in every PayCamp subscription — Starter, Professional, and Enterprise. No extra charge.
The Dashboard
When you open Site Essentials, you see three things:
- Gas Cylinder Stock — live counts of Full, Empty, Spares, and On Order for each gas type and size
- Shop Products — your product catalogue with prices, categories, and in-stock/out-of-stock status
- Activity Log — a chronological record of every exchange, sale, delivery, and alert
Everything fits on one screen. No tabs, no sub-menus, no clicking around.

Setting Up Gas Cylinders
To start tracking gas:
Add a gas type
Choose the type (Propane/Butane) and size (6kg, 13kg, etc.) from the quick-add options or create a custom entry.
Set initial counts
Walk to your gas cage (one last time!) and count: how many full, how many empty, any spares?
Set your low-stock threshold
This is the number of 'full' cylinders that triggers an amber warning. We recommend setting it to one week's typical sales.
Start recording exchanges
Each time a customer swaps an empty for a full, tap "Exchange". That's it — the counts update automatically.
Adding Shop Products
Shop products are simpler than gas. For each product you add:
- Name — e.g. "Elsan Blue 2L"
- Category — Sanitation, BBQ & Fire, Essentials, Camping Extras
- Price — your selling price
- Stock status — In Stock or Out of Stock (toggle)
That's all. No SKU numbers, no supplier codes, no minimum order quantities. You're not running a warehouse — you're running a campsite shop.
Recording a Gas Exchange
The exchange is the most common action you'll perform. Here's exactly what happens:

If the "auto-decrement shop stock" setting is enabled, and you also sell gas through the shop module, the stock count updates there too. But for most sites, the gas dashboard is all you need.
Handling Deliveries
When your gas supplier delivers:
- Go to the gas type that was delivered
- Tap "Receive Delivery"
- Enter the number of full cylinders received
- Confirm the number of empties the driver collected
The system updates: Full count increases, Empty count decreases (the driver took them), and "On Order" drops to zero (or the remaining amount if it was a partial delivery).
💡 Partial deliveries
If you ordered 10 but only 8 arrived, enter 8. The remaining 2 stay as "on order" so you know they're still coming.

Low-Stock Alerts
When a gas type's "full" count drops to or below your configured threshold, you see:
- An amber badge on the gas row in the dashboard
- An entry in the activity log explaining which type is low
- A summary in the alerts panel showing all items below threshold
This is your trigger to reorder. No surprise stock-outs. No embarrassing walks to an empty cage.
Recording Shop Sales
For general shop products (not gas), sales are recorded with a simple tap. Select the products sold, and the system logs the transaction with a timestamp and total amount.
Shop products use a binary "in stock / out of stock" model rather than unit counts. Why? Because counting individual Elsan bottles and milk cartons creates busywork with no real value. You know when you're out — just toggle the switch.

The Activity Log
Every action in Site Essentials is logged:
- 🔄 Gas exchanges (type, size, new counts)
- 🛒 Shop sales (products, total amount)
- 🚚 Deliveries received (quantities, what the driver collected)
- ⚠️ Low-stock alerts (which type, current count vs threshold)
- 📦 Reorders placed (quantities ordered)
This gives you a complete audit trail for reconciliation. At the end of the day (or week), you can see exactly what moved and whether the numbers add up.
