By accessing or using our services, you agree to be bound by these Terms. If you disagree with any part of the Terms, you may not access our services.

Description of Services
PayCamp provides site management software for campsites, marinas, caravan parks, and similar outdoor accommodation businesses. Our services include:
- Booking management and availability calendars
- Invoicing and payment tracking
- Customer databases and communication tools
- Compliance document management
- Partner website tools and related features

Account Registration
To use our services, you must:
- Create an account with accurate and complete information
- Maintain the security of your account credentials
- Notify us immediately of any unauthorised access
- Be at least 18 years old or have legal authority to bind your organisation

Subscription & Payment
4.1 Pricing
Subscription fees are as displayed on our website. Prices are in GBP and exclude VAT unless otherwise stated.
4.2 Billing
Subscriptions are billed in advance on a monthly or annual basis and will automatically renew unless cancelled.
4.3 Free Trial
14-day free trial — no payment required. At the end of the trial you must subscribe to continue using the services.
4.8 Currency & VAT
All prices are in British Pounds Sterling (GBP). VAT is charged at the applicable UK rate and shown separately on invoices.
4.4 Refunds
Annual subscriptions may be eligible for a pro-rata refund within the first 30 days. Monthly subscriptions are non-refundable. See our full Refund & Cancellation Policy for details.
4.5 Payment Processing
All payments are processed securely by Stripe , a PCI-DSS Level 1 certified payment processor. We do not store your full card details on our servers.
4.6 Recurring Billing Consent
By subscribing to PayCamp, you expressly authorise us to charge your designated payment method on a recurring basis according to your chosen billing cycle until you cancel. You will receive email notification before each renewal.
4.7 Payment Failures
If a recurring payment fails, we will notify you by email and provide a 7-day grace period to update your payment method. If payment is not received within this period, your access to the services may be suspended.
4.9 PayCamp Payments (Payment Facilitation)
PayCamp offers an optional built-in payment facilitation service called PayCamp Payments, powered by Stripe Connect Express. When enabled, PayCamp acts as a payment facilitator, collecting payments from your customers on your behalf.
- Platform Fee: A processing fee of 2.9% + 30p per transaction is deducted from each payment. This covers payment processing, fraud protection, and platform costs.
- Settlement Period: Net funds (after fees) are held for a default settlement period of 7 days before being transferred to your connected bank account.
- Payouts: Payouts are batched and transferred automatically once the settlement period has elapsed, subject to a £10 minimum payout threshold.
- Disputes & Chargebacks: If a guest disputes a payment, the chargeback is initially deducted from PayCamp. We will notify you and may recover the disputed amount plus any chargeback fees from your pending balance or future payouts.
- Your Responsibility: You remain responsible for delivering the service (mooring, pitch, hire, etc.) to your customer. PayCamp facilitates the payment only.
4.10 Bring Your Own Stripe
As an alternative to PayCamp Payments, you may connect your own Stripe account directly. In this case, payments are processed through your own Stripe account and PayCamp does not deduct any platform fee. You are responsible for your own Stripe account terms, fees, and compliance.

Acceptable Use
You agree not to:
- Use the services for any unlawful purpose
- Violate any applicable laws or regulations
- Infringe on intellectual property rights
- Transmit malware or harmful code
- Attempt to gain unauthorised access to our systems
- Interfere with other users' use of the services
- Resell or redistribute the services without permission

Data & Privacy
Your use of the services is also governed by our Privacy Policy. You are responsible for the accuracy and legality of data you input into the system.

Intellectual Property
The services and all related content, features, and functionality are owned by Towpath Digital Ltd and are protected by copyright, trademark, and other intellectual property laws.

Data Ownership
You grant us a limited licence to use your data solely to provide the services.

Service Availability
We strive for high availability but do not guarantee uninterrupted access. We may suspend services for maintenance, updates, or circumstances beyond our control. We will endeavour to provide advance notice of planned maintenance.

Limitation of Liability
To the maximum extent permitted by law, Towpath Digital Ltd shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business opportunities.

Indemnification
You agree to indemnify and hold harmless Towpath Digital Ltd from any claims, damages, or expenses arising from your use of the services or violation of these Terms.

Termination
Either party may terminate the subscription at any time. Upon termination, your access to the services will cease. We will retain your data for 30 days, after which it may be permanently deleted.

Changes to Terms
We reserve the right to modify these Terms at any time. We will notify you of material changes via email or through the services. Continued use after changes constitutes acceptance of the new Terms.

Governing Law
These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Disputes & Chargebacks
If you have a billing concern or believe a charge is incorrect, please contact us at [email protected] before initiating a dispute with your bank or card issuer. We are committed to resolving billing issues fairly and promptly.
Filing a chargeback without first attempting to resolve the issue with us may result in:
- Immediate suspension of your account pending investigation
- Recovery of the disputed amount plus chargeback fees for chargebacks determined to be fraudulent (where services were legitimately provided)
- Termination of your account for repeated or abusive chargeback claims
We maintain detailed records of all transactions and service usage to respond to any disputes.
